1. Who we are

Dermaiims is a dermatology and hair restoration clinic at B-4/1, Ground Floor, Safdarjung Enclave, New Delhi – 110029, led by Dr. Ramesh Pratap. For the purposes of India’s Digital Personal Data Protection Act, 2023, Dermaiims is the data fiduciary responsible for the personal data described below. 2. What we collect

Information you give us

The enquiry form on this website asks for three things, of which only the first two are required:

• Your name — so we know who to ask for when we call.
• Your mobile number — the only way we contact you about your enquiry.
• Your concern (optional, free text) — a short description of your hair loss, so the clinic can prepare before speaking to you.

We do not ask for your email address, date of birth, address, payment details, government identifiers, or photographs anywhere on this website. Please do not include sensitive details in the optional “concern” field beyond what is needed to describe your enquiry — a full medical history belongs in your consultation, not in a web form.

If you contact us by phone, WhatsApp or email instead, we hold whatever you choose to send us through those channels. WhatsApp is operated by Meta and is governed by its own privacy terms, not this policy.

Information collected automatically

Like any website, our hosting provider records technical information when a page is served — IP address, browser and device type, the pages requested and the time of the request. This is used for security and to keep the site working, and is not used to build a profile of you.

Advertising and analytics

This website is used as a landing page for Dermaiims’s Google Ads campaigns. When you arrive from an advertisement, Google may set cookies or similar identifiers on your device to measure whether the advertisement led to an enquiry, and to report aggregate campaign performance to us. We receive these reports as statistics; they do not tell us who you are. You can control advertising cookies through your browser settings and through Google’s own ad settings. We do not use advertising or analytics tools to infer or record any medical condition.

3. Why we use it

We use the information you submit only to:

• contact you about the consultation or enquiry you asked for;
• answer your questions and, if you go ahead, arrange your appointment;
• keep a record of enquiries received, as any clinic must;
• meet legal, regulatory or accounting obligations that apply to a medical practice in India.

We do not use your details for unrelated marketing, we do not add you to bulk mailing lists without asking, and we never sell, rent or trade your personal information to anyone.

4. Who sees it

An enquiry submitted through this website is delivered by email to the clinic’s own monitored mailbox (care@dermaiims.com) and is seen only by the clinic staff who handle appointments and by Dr. Ramesh Pratap.

Two categories of service provider necessarily handle the data in transit: our website host, which serves this site and runs the form endpoint, and our email provider, which delivers and stores the notification. They act on our instructions and are not permitted to use your information for their own purposes. Beyond that, we disclose personal information only where the law requires it, or where it is necessary to protect someone’s safety.

5. How long we keep it

Enquiries that do not lead to an appointment are retained for up to 24 months, so we can recognise you if you get back in touch, and are then deleted. If you become a patient, your clinical records are kept separately from this website for the period required of medical records in India, and are governed by our clinic records practice rather than by this policy. You can ask us to erase a website enquiry sooner — see section 7.

6. How we protect it

This website is served over HTTPS, so what you type into the form is encrypted in transit. Enquiry notifications are delivered over an authenticated, encrypted connection to a mailbox protected by two-factor authentication, and access is limited to the staff who need it. No system is perfectly secure, but we take these measures seriously and review them.

7. Your choices and rights

Under the Digital Personal Data Protection Act, 2023, you may ask us to:

• tell you what personal data of yours we hold, and why;
• correct anything inaccurate or incomplete;
• erase your enquiry, where we are not required to keep it by law;
• stop contacting you — just say so and we will close the record.

8. Children

This website and the treatments described on it are intended for adults. We do not knowingly collect information from anyone under 18 through this website. A minor’s enquiry should come from a parent or guardian; if we learn we have received one otherwise, we delete it.

9. Changes to this policy

If we change how we handle personal information we will update this page and the “last updated” date above. Material changes will be described here rather than made quietly.
